Defining the exact technical requirements is critical for forklifts to avoid capability mismatches. This goes beyond just "lifting capacity."
Key Data Points Required:
- Power Type: Diesel, LPG, Lead-Acid Electric, or Li-ion.
- Rated Capacity: 1.5T, 3T, 5T, 10T, etc.
- Mast Type: Duplex (Standard) vs. Triplex (Container entry).
- Lifting Height: 3000mm to 6000mm+.
- Tires: Pneumatic (Outdoor) vs. Solid (Indoor/Safety).
- Attachments: Side shifters, fork positioners, paper roll clamps.

Supplier Confirmation (Vetting)
Validating that the vendor is a legitimate manufacturer or authorized distributor, not just a trading company markup.
Factory Audit
Verify production lines, assembly capacity, and QC labs specifically for hydraulic systems and engines.
Compliance Check
Ensure CE certification (for EU), EPA standards (for US Diesel engines), and ISO 9001.

Quotations Confirmed
Detailed negotiation of the commercial terms. Forklift pricing is complex due to shipping volumes and spare parts.
- Incoterms: EXW vs FOB vs CIF. Note: Forklifts take up significant volume; ocean freight is a major cost component.
- Spare Parts Package: Negotiate for a "wear and tear" kit (filters, O-rings, brake shoes) to be included free or at cost.
- Warranty Terms: Standard is 1 year/2000 hours. Clarify if parts are shipped by air (DHL/FedEx) at supplier's expense during warranty.

Samples Arranging (Pilot Unit)
Unlike small consumer goods, you cannot easily ship a "sample" forklift. This step involves alternative validation methods.
Validation Options:
Option A: Pilot Order
Buy 1 unit. Most expensive, but safest for large fleets.
Option B: Virtual Audit
Live video call demonstration of lift tests, driving, and component inspection.
Option C: 3rd Party
Hire SGS/Intertek to inspect a random unit on the line.

Order Processing
Formalizing the purchase and managing the production timeline.
- Sign Sales Contract: Ensure technical annex is attached.
- Deposit Payment: Usually 30% T/T to start production.
- Production Monitoring: Request photos of the chassis, engine installation, and painting process.
- Pre-Shipment Inspection (PSI): Critical for machinery. Must test hydraulic pressure, load capacity (dynamic/static), and braking distance.

Delivery Arrange (Logistics)
Heavy equipment requires specialized shipping strategies to minimize costs and damage.
Container Loading
Standard forklifts often fit in 20GP/40HQ containers but may require the mast to be removed to fit the height. Ensure the supplier provides re-assembly instructions.
RORO (Roll-on/Roll-off)
For large tonnage forklifts (10T+) that don't fit in containers. The machine is driven directly onto the vessel.

The relationship doesn't end at delivery. Machinery requires ongoing maintenance.
- Parts Supply: Establish a protocol for ordering fast-moving parts.
- Technical Support: Ensure supplier has English-speaking engineers available for video troubleshooting.
- Claims: If a major component (e.g., hydraulic pump) fails, the supplier should ship a replacement by air immediately.
